Key Objectives

  • Support the Team Manager/Team Leader to ensure best practice within the Roadshow Team by following and adhering to the client account SLA (Service Level Agreement) is adopted and maintained at all times;
  • Ensure that all client policies and procedures, legal and compliance requirements as they relate to roadshow project management are adhered to at all times;
  • Delivery of consistent service excellence across multiple client relationships, and assigned projects at all times;
  • Support of other team members with assigned responsibility for specific components of complex larger Roadshow assignments;
  • For assigned Roadshow projects where you require support, you are required to communicate clearly the resource requirements both precisely and in advance to ensure the Team Leader is able to allocate available colleagues;

Responsibilities
  • Updating schedules in the firm’s systems and distributing to clients and banking partners daily;
  • Coordination between sales and banking to ensure any changes to schedules are updated;
  • Providing local support for roadshows from Asia and Americas whilst travelling in EMEA;
  • Managing expenses associated with Roadshows;
  • Build excellent relations with clients through positive, precise, clear verbal and written communications;
  • Working closely with creative services and Lanyon to manage on-line registration process;
  • Management of all audio visual requirements including audio dialing;
  • Management of all venue/supplier logistics including food and beverage requirements (BEO’s);
  • Post Roadshow final budget spend, attendance reporting and client operational de-brief;
  • Attendance at industry events;
  • Contribute to the creation and deepening of a knowledge bank of venues, hotels, destinations and services that ensures FP team are providing expert advice and recommendations to clients;
  • Adherence at all times in protecting client and FP confidentiality in all emails and verbal conversations;
  • Consistent and timely submission of expenses and time sheets;
  • Consistent demonstration of effective time management on all assigned projects;
  • Maintaining and updating team’s directories for hotel sales, reception, concierge and account services contacts;
  • Assist in induction of new joiners as assigned by Team Manager/Team Leader.

Core Competencies
  • Experience in events management, project planning, and negotiation skills;
  • Financial Services Industry experience preferred;
  • Demonstrated first-hand knowledge and experience of venues and destinations in EMEA;
  • Network of supplier contacts and established working relationships;
  • Knowledge of roadshows/logistics/production management;
  • Exposure to working with multiple managers/teams in planning and execution of roadshows;
  • Experience in working with and managing senior clients;
  • Excellent oral and written communication skills;
  • Good/advanced working knowledge of the MS Office Suite;
  • Be adaptable to changing responsibilities and workload
